Records of officers cannot be found in the Companies Registry's database
Most of the errors found in documents reporting changes of officers (including appointment, resignation and change in particulars of directors, company secretaries or authorized representatives) relate to the incorrect or inconsistent reporting of the names of officers. As a result, the officers whose changes are reported cannot be identified from our database and therefore the relevant information cannot be updated.
Advice:Always state the names of officers consistently in all documents delivered to the Companies Registry for registration.For example, if you have reported "CHAN Tai-man" as the director of a company on his first appointment, you should use this name "CHAN Tai-man" in all your documents reporting changes relating to this director. Don't state "CHAN Tai-man David" or "David Chan Tai-man" etc. in a form reporting his change of particulars otherwise the Registry will not be able to identify this director for updating his information. This will result in a rejection of the form for clarification or correction.
The company number of a director / company secretary which is a body corporate reported in a form does not match with its company number in the Companies Registry's record
In the case of a director / company secretary which is a body corporate registered in Hong Kong, its company number is required to be stated in the form reporting its appointment / resignation and changes in particulars. This company number as stated in the form is often found to be inconsistent with the Companies Registry's records.
Advice:
Make sure that the correct company number of a director / company secretary which is a body corporate is stated in a form reporting its appointment / resignation and changes in particulars to avoid rejection and delay in updating.
No indication as to the capacity of officers
The capacity of an officer whose changes are reported is not indicated in the form. As a result, it will be very difficult, if not impossible, to locate the record of the relevant officer in the Companies Registry's database for updating.
Advice:
Always make sure that you have selected and indicated the capacity of the officers in the appropriate selection box of the form.
